The Transfers Administrator is responsible for providing for completing all processing activities as it relates to external transfer requests. This includes addressing branch/external firm inquiries on initiations, processing, timing, and general inquiries regarding the account transfer process. The Transfers Administrator will also be responsible for providing administrative support to the transfers team, cross training and participation during team meetings and huddles as a part of knowledge sharing and maintaining best practices and adherence to regulatory requirements.

 

Is this role right for you? In this role, you will:

 

  • Complete all transfer related activities in an efficient manner
  • Process, review, and follow up on redemption requests
  • Provide coverage as required during absence and or increased volumes
  • Build and maintain strong relationships with other firms and internal departments to resolve problems/issues in a timely manner
  • Assist team lead with planning and continual process review and implementing communicated and other recommended changes
  • Review various reports/systems daily to follow-up on outstanding transfers and aged items and ensure accounts are commented accordingly
  • Resolve problems, issues and situations as required, including but not limited to, identifying anomalies and errors, and conducting the appropriate correcting entries and/or activity, fee issues, and claims/cancellations
  • Ensure client accounts are thoroughly noted, clearly detailing the timeline and status of the transfers
  • Bring forward/escalate problem items as necessary to the team lead and/or Manager
  • Accurately record daily statistics of all inquiries received and completed

 

Do you have the skills and requirements that will enable you to succeed in this role? – We’d love to work with you if:

 

  • Post secondary education
  • Experience in the Financial Services industry is preferred
  • General knowledge of operational and regulatory processes governing the Wealth Management industry in Canada
  • Knowledge of Broadridge applications and other applications
  • Knowledge of PC applications, specifically Microsoft Office
  • Knowledge of securities products: GICs, Equities, Mutual Funds and Bonds
  • Some knowledge of Interbroker Transfer procedures and CIRO regulatory requirements
  • Demonstrated problem-solving skills
  • A focus on client service
  • Ability to be a team player
  • Effective communication skills both oral and written
  • The ability to work effectively independently and multi-task in a team-oriented environment
  • An ability to work well under pressure and negotiate
  • A focus on attention to detail and accuracy
