Working under the direction of the Manager, Fee Monitoring and Admin, the Fee Based Operations Admin Support is responsible for providing prompt, accurate and professional service to Wealth Advisors, Associates, and Branch Support Staff.  The incumbent's main responsibility will be to provide first line support on various operational procedures and supervision on activities as it relates to fee-based account policies and procedures. In addition, the incumbent may support the business by carrying out a variety of data processing related tasks (this may include instruction for selling securities for non- permitted transactions and running data queries for our Banking partners). Ensuring all tasks are processed with great accuracy and providing excellent customer service to all clients (internal and external) and our partners is paramount.

 

Is this role right for you? In this role, you will:

 

  • Provide administrative support for all fee-based Programs (PPlus, MPP, iPartner, Summit, Pinnacle, SIP, and international accounts)
  • Handle inquiries from Wealth Advisors, Assistants and Branch Support Staff regarding the various processes and procedures in relation to fee-based accounts.
  • Liaise with back-office departments (On-boarding, Registered Products, Client Accounting, Mutual Funds,) to assist the branches with questions, concerns, and problems.
  • Process early exits, cancel and amendment of fees, security exclusions.
  • Identify potential and actual concerns, conduct necessary follow-up inquiries, and ensure that appropriate corrective actions are executed in a timely manner while ensuring adherence to the policy and procedures.
  •  Monitor/Reconcile security classification in fee billing system.
  • Monitor and Review client Fee Agreements for completion on WealthOne DPR.
  • Provide back-up to the Feebased support staff and ad-hoc projects when necessary.
  •  Participate actively in team learning development activities and team performance achievements.
  • Work in a calm and positive manner in a fast-paced environment with volumes dictated by customer demands.
  • Adhere to the Bank’s Guidelines for Business Conduct and Privacy Code and demonstrate a full understanding of the legal implications of dealing with client requests while maintaining the confidentiality of client information.
  • Perform sundry duties as assigned by the Manager.

  • Familiarity with a variety of enterprise system technologies (e.g., web-based, mainframe, AS/400, relational databases); experience with Broadridge, PureFees, PureFacts, Salesforce, Charles River, or other securities brokerage applications would be an asset.
  • Sound technical skills with the confidence to walk users through problems and provide solutions.
  • Working knowledge of general computer applications such as Word, Excel, PowerPoint, and Access.
  • Understanding of ScotiaMcLeod procedures, policies, and regulatory guidelines.
  • Ability to organize workload, set priorities and manage time deadlines.
  • Strong team building skills to ensure co-operative working relationships with co-workers, management, branches and third parties always Conveying the highest standards of professionalism.
  • Ability to work with others under a team structure by being sensitive and understanding to the needs and diversity of others.
  • Must be able to exercise decision making skills and use initiative in fulfilling the day-to-day requirements of the position.
