Purpose

Contributes to the overall success of the department by ensuring specific individual goals, plans, initiatives are executed / delivered in support of the team’s business strategies and objectives.  Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures.

 

Reports to the VP and MD, Advanced Planning & Services (APS), and supports the APS team with daily administrative tasks (such as: travel, meeting coordination, expenses, calendar scheduling/maintenance, Salesforce input).

 

In addition, this role requires a seasoned professional with a minimum of five years of experience in a high-performing, fast-paced, professional environment. The UHNW Support & Operations Coordinator must demonstrate maturity, sound judgment, and the ability to manage multiple priorities simultaneously. The role supports employees who work directly with ultra-high-net-worth (UHNW) clients, requiring a heightened level of discretion, responsiveness, and professionalism. The UHNW Support & Operations Coordinator also plays a key role in project management, cross-functional collaboration, and proactive problem-solving to ensure operational excellence and client service delivery.

 

Accountabilities

 

  • Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.

 

  • Provide high level administrative support for the APS team requiring discretion, confidentiality, a good understanding of technical and business vocabulary, and a detailed knowledge of the organization's operations, procedures, and people.

 

  • Gather, compile, and verify information for the use in documents such as memos and reports.  Perform tasks using independent judgment and discretion; e.g , preparing documents and presentation materials; screening and responding to incoming correspondence, inquiries, and phone calls; arranging and attending meetings; taking and distributing minutes.

 

  • Monitor and review standard expenditures to ensure the activities of the office are conducted within established budgets.  Act as the primarily liaison and coordinator for department initiatives.

 

  • Manage and coordinate multiple initiatives simultaneously, ensuring timelines, deliverables, and stakeholder communications are aligned and executed effectively, by utilizing project management skillset.

 

  • Support employees working with UHNW clients by anticipating needs, managing logistics, and ensuring readiness for high-stakes engagements, often under tight timelines and high expectations.

 

  • Demonstrate resilience and composure in a high-pressure environment, consistently applying sound judgment and a proactive approach to problem-solving.

 

  • Collaborate cross-functionally with internal partners to drive operational efficiency and support strategic business priorities.

 

  • Assist the APS team with daily administrative tasks.

 

  • Supports with other ad-hoc related requests as required.

 

  • Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.

 

  • Actively pursues effective and efficient operations of his/her respective areas, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational risk, regulatory compliance risk, AML/ATF risk and conduct risk, including but not limited to responsibilities under the Operational Risk Management Framework, Regulatory Compliance Risk Management Framework, AML/ATF Global Handbook and the Guidelines for Business Conduct.

  • Supports a high-performing team that works directly with ultra-high-net-worth (UHNW) clients, requiring elevated standards of service, discretion, and responsiveness. Acts as a key liaison across internal departments and external stakeholders to ensure seamless execution of business priorities.  Determines urgency for what needs to go to the VP’s attention and be flagged.

 

  • Manages multiple concurrent projects and initiatives with varying timelines and stakeholders. Responsible for coordinating deliverables, tracking progress, and ensuring alignment with strategic goals in a fast-paced, high-pressure environment.

 

  • Exercises independent judgment in managing priorities, resolving issues, and anticipating team needs. Makes decisions that impact operational efficiency, client experience, and internal coordination.

 

  • Interfaces with senior leaders, UHNW clients, and cross-functional teams. Must demonstrate professionalism, maturity, and tact in all communications, often representing the team in high-stakes or sensitive situations.

 

  • Monitors departmental expenditures, ensures adherence to budgetary guidelines, and supports financial tracking and reporting for team initiatives.

 

  • Handles sensitive information with discretion and ensures compliance with internal policies, regulatory requirements, and risk frameworks (e.g., AML/ATF, Operational Risk, Conduct Risk).

 

Education/Experience

  • Ability to assist the APS team with daily administrative tasks within the framework established by the VP of Advanced Planning
  • Sound knowledge of business/bank terminology and departmental procedures
  • High level of discretion required when dealing with confidential matters
  • At least 5 years of administrative experience working in a fast-paced, professional environment
  • Excellent communication and organization skills
