Senior Administrative Assistant, Investment Counsel, 1832 Asset Management 


The Senior Administrative Assistant, Associate, Investment Counsel is responsible for providing high level support to senior members of the 1832 Asset Management portfolio management team. The Associate is responsible for proactively and professionally providing administrative assistance and ongoing support to their assigned team members.

 

 

Key Responsibilities


The Associate, Investment Counsel will be responsible for the following:

  • Contribute to the success of the Investment Teams by ensuring timely and accurate completion of assigned tasks and projects

 

  • Accurately prepare portfolio/research reports; update spreadsheets and models with current market data for Portfolio Managers and Analysts team, using Excel, Simcorp, Charles River, Internet, Bloomberg or other related industry applications;

 

  • Perform daily administrative functions for the Portfolio Managers and Analysts team
    • Calendar management: co-ordinate meetings and conferences, update schedules, monitor and assist virtual meetings
    • Prepare agenda and distribute meeting packages
    • Timely submission of expense reports and account tracking
    • Co-ordinate domestic and international travel arrangements; ensure travel is within policy
    • Prioritize and redirect mail, articles and reports in timely manner

 

  • Provide backup coverage for Associates team members
  • Communicate and collaborate with other departments to complete projects and update reporting models

 

Desired Skills & Experience


The successful candidate for this position will possess the following:

 

  • Minimum two years Investment Management or Financial Services experience (required);
  • College Diploma in a relevant discipline combined with progressively responsible administrative experience or a combination of education, training and experience deemed to be equivalent;
  • Excellent mathematical skills – extremely detailed oriented to analyze data and verify calculations
  • IFIC and /or CSC certification strongly preferred;
  • Expert level PC skills (MS Office: Excel, Word, Outlook, PowerPoint; Adobe Acrobat, web browsers) with an ability to become familiar with firm-specific programs and software
  • Familiarity with virtual conference applications: MS Teams, Skype, Zoom
  • Excellent communication skills; communicate in a variety of mediums;
  • Must exhibit strong teamwork skills; willing to continuously and proactively collaborate, share and seek information and guidance;
  • Proven ability to take initiative and work independently in a high performing, deadline driven environment
  • Demonstrable track record of supporting fast-paced teams and championing a culture of service excellence for internal and external clients.
