Purpose
The Referral Specialist supports the day-to-day administration and operation of referral programs and related business initiatives. The role is responsible for processing and tracking referrals, responding to inquiries, maintaining program records, supporting reporting activities, and assisting with training and communication efforts. The incumbent works collaboratively with stakeholders to help ensure referral programs operate effectively and delivers support for ongoing program enhancements and operational initiatives.
Is this role right for you? In this role you will:
- Support the day-to-day administration of referral programs by processing, tracking, and routing referrals in accordance with established program requirements.
- Monitor shared program mailboxes and respond to inquiries from program participants and stakeholders in a professional and timely manner.
- Maintain accurate records and tracking of referrals, program activity, and operational data.
- Prepare and distribute regular reports by gathering, validating, and consolidating information from multiple sources.
- Assist with reviewing program and operational data to identify trends, exceptions, and opportunities for improvement.
- Support the creation and maintenance of training materials, reference guides, communications, and other program resources.
- Provide training and operational support to program participants by answering questions and assisting with program-related processes.
- Assist with program enhancements, workflow updates, testing activities, process documentation, and other continuous improvement initiatives.
- Collaborate with business partners and stakeholders to support program objectives and resolve operational issues.
- Participate in special projects and perform other administrative, reporting, and operational duties as assigned.
- Actively pursue effective and efficient operations of his/her respective areas in accordance with Scotiabank’s Values, its Code of Conduct and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions and conduct risk.
Do you have the skills that will enable you to succeed in this role? We’d love to work with you if you have:
- Strong proficiency with Microsoft Office applications, including Excel, Outlook, Word, and PowerPoint.
- Strong Microsoft Excel skills, including the ability to manipulate and analyze data, maintain spreadsheets, use formulas and pivot tables, and produce reports.
- Basic knowledge of SharePoint and content management practices.
- Basic knowledge of Salesforce.com or other customer relationship management (CRM) platforms.
- Ability to learn and adapt to new systems, processes, and technologies.
- Strong written and verbal communication skills, with the ability to communicate professionally with a variety of stakeholders.
- High attention to detail and accuracy when processing information, maintaining records, and preparing reports.
- Ability to work collaboratively in a team environment while also managing assigned responsibilities independently.
- Customer service mindset with a focus on delivering a positive stakeholder experience.
- Bilingualism (French and English) is considered a strong asset.
- University or College Degree.

- Work in a standard office-based environment; non-standard hours are a common occurrence.
- Location: 44 Kings St West
- Working Hours: Monday - Friday, 9 am - 5 pm EST, fully onsite.
