Purpose


Contributes to the overall success of the Office of the CTO in Canada ensuring executive assignments are managed, specific individual goals, plans, initiatives are executed / delivered in support of the team’s business strategies and objectives.  Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures.

 

Accountabilities

 
•Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.

 
•Maintain the project files; this pertains to project documentation, approvals, spreadsheets, meeting minutes, monthly status reports, third party contracts and other correspondence and documentation as appropriate.

 
•Act as the project coordinator; this includes reviewing the weekly and monthly time tracking reports for anomalies, preparing/distributing agendas, attending meetings, preparing/distributing clear and detailed minutes on a timely basis, recording, communicating and following up on action items and maintaining project distribution lists.

 
•Assist leaders with activities by using the Microsoft Office including MS Project and Powerpoint

 
•Ongoing communication of project status, completing the agreed on project reports and escalating issues to the appropriate leaders  as required

 
•Provide high level administrative support for one or more executives, requiring discretion, confidentiality, a good understanding of technical and business vocabulary, and a detailed knowledge of the organization's operations, procedures, and people. This includes administer and manage the meeting calendars, expenses and flight arrangements of SVP, OCTO and VP, IT Risk

 
•Gather, compile, verify, and analyze information for the executive's use in documents such as memos, letters, reports, speeches, presentations, and news releases. Perform tasks using independent judgment and discretion; e.g , preparing documents and presentation materials; screening and responding to incoming correspondence, inquiries, and phone calls; drafting letters and official information releases; arranging and attending meetings; taking and distributing minutes.

 
•Monitor, review, and approve standard expenditures to ensure the activities of the office are conducted within established budgets. Manage the variance analysis and ensure it aligns on a monthly basis. Act as the primarily liaison and coordinator for department initiatives.

 
•Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.

 
•Actively pursues effective and efficient operations of his/her respective areas, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational risk, regulatory compliance risk, AML/ATF risk and conduct risk, including but not limited to responsibilities under the Operational Risk Management Framework, Regulatory Compliance Risk Management Framework, AML/ATF Global Handbook and the Guidelines for Business Conduct.

 
•Champions a high performance environment and implements a people strategy that attracts, retains, develops and motivates their team by fostering an inclusive work environment; communicating vison/values/business strategy and managing succession and development planning for the team.

 


Education/Experience:

 

•Expert ability to balance competing or conflicting requests of various tasks, projects, stakeholders, requiring a professional approach
•Ability to handle multiple projects of varying complexity in a team environment, as well as developing a thorough understanding of project management techniques
•Strong MS Excel skills required to manage, track and report the project budget
•Strong knowledge of MS Office including Powerpoint,
•Ability to develop and maintain an MS Project, including multiple files consolidation and reporting
•Familiarity with IT concepts, methodology and vocabulary.
•Business results orientation.
•Sound knowledge of business/bank terminology and departmental procedures
•High level of discretion required when dealing with confidential matters
