Scotiabank has begun the journey to modernize both development practices and tools. Scotiabank’s Platform Organization (PLATO) is a development platform, which drives velocity, service enablement and reusability. It’s an integrated set of technical products encapsulating critical enterprise capabilities, automated processes, and social architecture to enable high-velocity application development.

The aim is to reduce costs by providing a streamlined process and framework which will allow the development team to focus on building business logic.  We are looking to build our team with influencers, makers, creators and industry leaders who will drive us forward and enhance the experience of our customers.

                       

 

Role:  Program Assistant, the Platform Organization (PLATO)

 

Purpose of Job:

What you’ll be accountable for:

Operational and Administrative Excellence

Maintains the calendar of the VP, Product and the Program

Representing the program during the absence of team members, following-up on any emergencies with appropriate in-house staff, and sharing workload with Assistants from other teams;

Acknowledges receipt of correspondence and documentation in the absence of VP, Product or Program staff, and drafts preliminary versions of correspondence to be signed by the VP, Product or relevant Program staff;

Prepares the bi-weekly Program reports and dashboards, and maintains the Program’s and VP, Product’s internal social media presence

Organizes regular team meetings and conference calls/video-conferences, including the preparation and distribution of documents;

Takes minutes of regular team meetings and other meetings with the assistances of and coordination with other team members;

Works with other Assistants to coordinate work activities, meet deadlines, and provide support where needed; and

Performs other related duties in accordance with instructions from VP, Product.

What does success look like?

Provide effective and efficient support to the Program team to ensure smooth program delivery.  This includes administrative, logistical and information management assistance to the VP, Product and other team members, as well as planning and coordination of team activities (meetings, workshops, travel budgets). 

Required Skills & Abilities:

 

  • 3+ years in a related role, supporting large-scale, global programs and/or executive leadership, with personal accountability for a breadth of administrative and operational areas
  • Passion for technology, depth of understanding on how to use social media to manage a narrative
  • Ability to effectively, and independently, manage multiple competing priorities with high attention to detail
  • Strong presentation, verbal and written communication skills with the ability to articulate complex ideas in easy to understand business terms to all levels of management
  • Superior organizational and leadership skills, demonstrated by previous professional success
  • Excellent interpersonal, communication, and influencing skills with ability to build and foster relationships
