This role reports to the Senior Manager, Vendor Management, supporting the Cloud Acceleration Program (CAP), one of Scotiabank’s top priorities. This program has enterprise-wide impact and requires effective communications, financial management, strategic planning, and project management and execution skills.

 

The Manager, Vendor Management plays a critical role and has accountability for the management and oversight of the vendor relationships leveraged by the Program to meet the business objectives. The manager is responsible for assisting the Senior Manager to collectively ensure the Vendor contracts are processed in a timely manner, monitoring all risk items and approvals, and processing Vendor Invoices.  The Manager acts as a liaison coordinating schedules and tasks for internal teams and gathering insights, approvals, and other stakeholder contributions and processing accordingly. This role ensures business strategies, plans and initiatives are supported in compliance with governing regulations, internal policies, and procedures.

 

 

Is this role right for you?

  • Manage 3rd Party Contracts for CAP Program
  • Ensure proper process is followed when engaging vendors, including understanding & co-ordinating for RFP process
  • Drive cross-team collaboration (Vendor, Procurement, Governance, TPRM, PM, Legal, Delivery and Finance)
  • Diligently process and track SOW/MSA/Renewals/Amendments
  • Follow up on issues in processing contracts ( e.g. Exception documentation)
  • Work with Business Line/Technology team/Vendors to move contracts forward.
  • Stay up-to-date with Procurement guidelines, TPRM processes and follow OSFI guidelines.
  • Work with Governance team to ensure all compliance and audit issues are addressed.
  • Document and follow up on important actions and decisions from meetings.
  • Develop reports and reviews for key performance indicators, analysis of data/reports and investigation of any issues found.
  • Ensure cost efficiency by ensuring right contract-type, use of appropriate resource roles, approved rates, and right location mix.
  • Provide support and oversight on the pre-requisites for contract management including all approvals are in-place in-line with the processes, and financial conditions are met in-line with the technology financial processes and procedures including budget/forecast are in-place prior to the execution on a contract.
  • Build a high-performance environment and implements a people strategy that attracts, retains, develops, and motivates team members by fostering an inclusive work environment, communicating vison/values/business strategy, and managing succession and development planning for the team
  • Invoicing Contracts
  • Maintain active invoice spreadsheet.
  • Track SOWs – Work with DL/PM to confirm and track Opex-Capex & Charge codes
  • Update with Project Tracking information and Invoice status.
  • Meet with Vendors regarding updates and issues.
  • Risk Management
  • Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions & provide subject matter expertise and operational support to technology stakeholders to ensure compliance with Third-party management policies and procedures including and support on activities such as third-party risk assessment on the current Coupa Risk Assessment and contract management activities on Icertis Contract Management or any futuristic tools.
  • Direct day-to-day activities in a manner consistent with the Bank’s risk culture and the relevant risk appetite statement and limits.  Communicate the Bank’s risk culture and risk appetite statement throughout their teams.
  • Create an environment in which his/her team pursues effective and efficient operations of his/her respective areas, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational risk, regulatory compliance risk, AML/ATF risk and conduct risk, including but not limited to responsibilities under the Operational Risk Management Framework, Regulatory Compliance Risk Management Framework, AML/ATF Global Handbook and the Guidelines for Business Conduct.

 

Do you have the skills that will enable you to succeed in this role?

  • 2+ years of work experience in Project Management, Finance, Operations and Business Communication
  • Understanding of financial planning, accruals, Invoicing and reporting
  • Exceptional communication skills with proven ability to present results and make recommendations to diverse stakeholders including senior executives; Ability to adapt communication content and styles to suit the audience.
  • Drive to succeed with bias towards action and ability to navigate large organizations and build collaborative relationships; Proven ability to engage and manage stakeholders in a complex, matrixed environment.
  • Strong curiosity to learn with adaptive and creative mindset
