Reporting to the Senior Manager, Records and Information Management, the Manager Records and Information Management supports efforts to implement and execute a global Records & Information Management (RIM) Program in order to facilitate effective and efficient information management across Scotiabank in accordance with legal, regulatory and internal business requirements.
Is this role right for you? In this role, you will:
- Support the Senior Manager and Director in progressing the design and implementation of an effective global enterprise-wide RIM Program
- Assist in developing guidance for and tracking of Business Line and Corporate Function records inventory development, maintenance and reviews
- Assist in developing and maintaining Key performance indicators (KPIs) and Key Risk Indicators (KRIs),and support reporting to senior management on RIM program maturity
- Assist in facilitating monitoring and updating reporting on adherence of Business Lines and Corporate Functions to RIM Program
- Facilitate development, maintenance, and ongoing reviews of records inventories across Business Lines and Corporate Functions
- Support and update reporting for RIM Program maturity, including review schedules/timelines, Key Risk Indicators and Key Performance Indicators, reporting templates and meeting materials
- Develop and deliver materials for training, communication and change management activities as required to support RIM program implementation and ongoing execution
- Support the Senior Manager in liaising with external networks and professional industry associations including ARMA to assess and advise on industry best practices, benchmarking and incorporate into RIM program design
- Document RIM related advice on program requirements, best practices and guidelines
- Support development, maintenance and implementation of RIM related policies, procedures, processes and other supporting documentation to enable RIM Program compliance
- Facilitate other RIM Program initiatives in relation to retention schedule, program development, compliance pillars, business line and corporate function relationship management, policies and procedures, and paper and digital record management.
- Engage in assessments of RIM Program and related risk assessments and development of supporting materials
- Support efforts to facilitate mature digital records management for both structured and unstructured data
- Assist with other Enterprise Regulatory Programs responsibilities, as required, to fulfill the team’s mandate and comply with Regulatory Compliance Management requirements

- Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures.
Do you have the skills that will enable you to succeed in this role? - We'd love to work with you if you have:
- 2+ years of banking/financial services experience and/or relevant experience in Records and Information Management, Regulatory Compliance, Operations or process-oriented roles.
- University degree in Business or Records Management is desirable
- Experience with records management action plans, tracking, reporting and supporting stakeholder implementation is an asset
- Knowledge of records and information management industry standards, best practices, methodologies, and frameworks would be an asset
- Demonstrated ability to advise stakeholders on records management principles/concepts to drive decision making and records program implementation is an asset
- Experience and knowledge of change management, communications and learning principles, methodologies, and tools is an asset
- Solid understanding of financial institutions is desirable
- Strong capabilities with respect to action/conformance plans, tracking, reporting and supporting stakeholder implementation
- Strong ability to advise stakeholders on records management principles/concepts to drive decision making and records program implementation
- Highly organized and capable of managing multiple priorities with competing timelines
- Strong ability to prioritize, track and communicate progress on deliverables to stakeholders and management
- Proficient in Microsoft Office suite of products, including but not limited to: Co-Pilot, PowerPoint, Word (including macros), Excel, Visio
- Ability to take ownership and work independently within guidelines, policies, directives and established precedent.
- Strong analytical, organizational, and investigative skills, with exceptional attention to detail.
- Strong teamwork, interpersonal and conflict resolution skills.
- Strong written and verbal communications skills and with experience communicating effectively at the senior management levels
- Experience with records and information management and solutions
