The Legal Assistant supports the Corporate Estate Specialist (CES) and the Advanced Planning Team by providing legal‑administrative, organizational, and document‑preparation support.
This role functions under the close supervision and direction of the CES, contributing to the coordination and preparation of materials used in advanced planning engagements involving high‑net‑worth and ultra‑high‑net‑worth clients.
Key Responsibilities
1. Information Gathering & Document Organization
- Collect, organize, and maintain client information, corporate documents, ownership charts, and related materials as instructed by the CES.
- Prepare background files and document packages to support CES review.
- Ensure materials are complete, accurately formatted, and filed according to team standards.
- Support data entry and maintain document repositories and engagement folders.
2. Preparation of Planning Materials
- Draft basic components of structure summaries, meeting notes, charts, or presentation materials for CES approval.
- Assist in assembling client‑ready documentation packages, ensuring consistency, formatting quality, and proper version control.
- Identify missing information and flag items requiring CES review or follow‑up.
- Help maintain internal templates, checklists, and standardized forms.
3. Administrative & Coordination Support
- With the assistance of the UHNW Support and Operations Coordinator, schedule meetings involving clients, internal partners, external advisors, and the CES.
- Prepare agendas, record meeting notes, and organize follow‑ups for CES validation.
- Maintain an updated list of external specialists (legal, tax, valuation, consulting, etc.).
- Support logistics for internal presentations, training sessions, and BWT awareness activities.
4. Internal Collaboration & Relationship Support
- Assist with routine or procedural inquiries from Relationship Managers or Advisors under CES oversight.
- Facilitate document flow between the CES, Team of Experts (TOE), and other internal contacts.
- Assist with the preparation of communication pieces and internal materials that promote UHNW planning awareness.
5. Team Support & Operational Efficiency
- Maintain dashboards, logs, and trackers that monitor planning engagements and deliverables.
- Help document workflows, processes, and templates to support continuous improvement.
- Participate in team learning and knowledge‑sharing activities.
- Ensure a consistent client experience by supporting timely and accurate document preparation.
Qualifications
Education & Professional Background
- Post‑secondary education in legal administration, business administration, finance, law, or a related field.
- Experience working in a law office, financial institution, trust company, corporate department, or similar environment is an asset.
- Interest in learning about estate planning, business transition, and UHNW advisory support.
Skills & Attributes
- Strong organizational skills and meticulous attention to detail.
- Excellent writing, editing, and document‑preparation abilities.
- High level of professionalism and discretion when handling sensitive information.
- Ability to manage multiple tasks with appropriate supervision.
- Strong communication and interpersonal skills, with a willingness to learn and grow.
