The Financial Analyst supports the Real Estate team by reviewing and analyzing landlord rental charges to ensure billings are accurate and aligned with the applicable lease agreements. The role is responsible for the end-to-end processing, control, and tracking of accounts payable activities for the Real Estate portfolio. This includes rents, property taxes, utilities, departmental expenses, consultant and legal fees, project-related invoices, wire payments, and facility management invoices. The Financial Analyst ensures transactions are accurately recorded and paid, maintains complete financial records, and proactively resolves or escalates discrepancies. The role also supports vendor onboarding, audit requirements, stakeholder inquiries, and process improvements.

 

Is this role right for you? In this role you will:

  • Review and analyze landlord rental charges to confirm billings are valid and consistent with applicable lease agreements.
  • Coordinate approvals for monthly and one-time rental payments with the Occupancy Cost Control team.
  • Process recurring and non-recurring payments, including rent, utilities, property taxes, project invoices, departmental expenses, professional fees, collective bills, wire payments, and facility management invoices.
  • Process payments through SmartBuy, PeopleSoft Accounts Payable, Excel load files, and ScotiaConnect accurately and on time.
  • Confirm all required documentation and approvals are received before initiating payments.
  • Record transactions using the correct project code or transit number, general ledger account, and applicable tax codes.
  • Verify invoice amounts, tax calculations, and freight charges for accuracy and reasonability.
  • Coordinate the onboarding and setup of new vendors, landlords, and suppliers in PeopleSoft and SmartBuy.
  • Liaise with internal partners, landlords, and property managers regarding rental payments, lease expirations, branch openings, escalations, and other lease-related inquiries.
  • Maintain complete and accurate electronic records while protecting confidential financial information.
  • Support property closures, internal and external audits, and the resolution of payment or processing issues.
  • Maintain procedures, identify process improvements, and provide backup support for other accounting functions as required.

 

Do you have the skills that will enable you to succeed in this role? 

  • A college diploma in accounting or a related field is considered an asset.
  • One to three years of full-time accounting experience, preferably involving accounts payable or general ledger transactions.
  • A sound understanding of accounting principles and general ledger processes.
  • Strong organizational and prioritization skills with the ability to manage high-volume workloads and firm deadlines.
  • Strong attention to detail and a commitment to accuracy when processing payments and financial transactions.
  • Effective interpersonal and communication skills when working with suppliers, landlords, senior leaders, and internal partners.
  • The ability to exercise tact, discretion, and sound judgment when handling confidential information.
  • Proficiency in Microsoft Office, including working knowledge of Excel.
  • Knowledge of PeopleSoft and Coupa SmartBuy is considered an asset.
  • The ability to independently troubleshoot issues, identify discrepancies, and escalate concerns appropriately.
