Purpose

 

Reporting to the Director, Business Initiatives, the Executive Assistant contributes to the overall success of Global Retail Distribution (GRD) by providing senior executive support to the SVP & Head, Global Retail Distribution and the Managing Director, National Sales Manager, ensuring priorities, initiatives, and business activities are coordinated efficiently and executed effectively.

 

Your role will involve facilitating the day-to-day operations of the department by serving as a primary resource for departmental inquiries, liaising with internal and external stakeholders, drafting and editing complex correspondence and coordinating appointments, meetings and events. Your stellar communication skills and high degree of professionalism and confidentiality will be essential to your success in this role.


What you will be doing:

 

  • Provides high-level administrative support to senior executives, requiring discretion, confidentiality, sound judgment, and a strong understanding of business operations, processes, and stakeholder relationships. Acts as a key liaison between senior leadership and internal and external stakeholders, ensuring timely communication and coordination across multiple business partners and functional teams.
  • Proactively manages complex executive calendars, balancing competing priorities while coordinating appointments, meetings, conferences, offsites, and leadership events.
  • Coordinates meeting logistics including scheduling, venue arrangements, technology requirements, catering, preparation of materials, agendas, minutes, action items, and follow-up activities.
  • Gathers, compiles, verifies, and analyzes information for executive use in presentations, reports, briefing notes, speeches, business cases, leadership updates, and other strategic communications.
  • Supports the planning and execution of business initiatives, sales meetings, leadership events, conferences, due diligence programs, client-facing events, and other departmental activities.
  • Manages executive correspondence and communications, including email management, distribution lists, client communications, and ensuring inquiries are addressed in a professional and timely manner.
  • Coordinates travel arrangements, itineraries, expenses, and related logistics for executives and select business activities, including occasional international travel requirements.
  • Monitors and manages departmental expenses, purchase orders, invoices, and budget tracking activities, partnering with Finance to ensure expenditures are accurately processed and reported.
  • Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.
  • Actively pursues effective and efficient operations of the respective areas, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational risk, regulatory compliance risk, AML/ATF risk and conduct risk, including but not limited to responsibilities under the Operational Risk Management Framework, Regulatory Compliance Risk Management Framework, AML/ATF Global Handbook and the Guidelines for Business Conduct. 


Do you have the skills to enable you to be successful in this role? We would love to work with you if you have:

 

  • University Degree from an accredited university or college in Administration. Alternatively, an Associate Degree from an accredited university or college and/or 3 - 4 years of related experience.
  • Strong knowledge of MS Office applications and PC skills, particularly spreadsheets and presentation tools.
  • Strong verbal/written communication skills.  Incumbent must be articulate
  • Sound knowledge of business / bank terminology and departmental procedures
