Purpose

The Executive Assistant is responsible for providing high-level administrative support to the Group Head, International Banking and International Banking Chief Operating Officer. This role requires exceptional judgement, discretion and organizational excellence, acting as a trusted partner to ensure the executive’s time, priorities, and communications are managed effectively. You will be responsible for handling a wide range of administrative tasks, with a focus on efficiency, confidentiality, and professionalism. This role functions as a trusted and proactive partner, ensuring seamless execution of executive priorities and enabling optimal day-to-day operations through close collaboration with the Office Manager to support the executive office holistically. What You’ll Do:

    • Executive Support: Provide high-level administrative support to Group Head and COO, including the handling of sensitive information and calendar management.
    • Travel Arrangements: Coordinate domestic and international travel, including flights, accommodation, itineraries, and associated documentation.
    • Document Management: Handle confidential information with the highest level of professionalism and integrity including organizing and saving files in shared drives for future reference and uploading documents to Group Head’s calendar for meetings, as well as distributing materials to meeting attendees.
    • Calendar Management: Proactively manage IB Group Head and the COO, schedule meetings, including anticipating needs, resolving conflicts, and prioritizing commitments to optimize executive productivity.
    • Event Coordination: In liaison with Group Head director of strategic support assist in planning and organizing employee and client events, conferences, and seminars, handling logistics, and ensuring smooth execution.
    • Expense Management: Process invoices and track expense reports, ensuring timely reimbursement and compliance with company policies and financial controls.
    • Confidentiality: Maintain strict confidentiality of sensitive information, including client data and company records.
    • Team Collaboration:
      • Work effectively in partnership with Manager Office of the Group Head.
      • Work closely with members of the support team to ensure the overall efficiency of the office.
    • Actively pursues effective and efficient operations of their respective areas in accordance with Scotiabank’s Values, its Code of Conduct and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions and conduct risk.

What You'll Bring:

  • Fluently bilingual English and Spanish is required.
  • Bachelor's degree or equivalent work experience required.
  • 5+ Years of related experience supporting a C-Level Executive.
  • Demonstrated ability to exercise sound judgment, anticipate needs, and operate with a high degree of autonomy.
  • Exceptional organizational and time management skills.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and ability to prioritize tasks effectively.
  • A professional demeanor and the ability to represent the company to clients and partners.
  • Discretion and the ability to handle sensitive information with integrity.
  • Knowledge of financial terminology and concepts is a plus but not required.

 

 Work Arrangement:

 Work in a standard office-based environment.
