As the Executive Assistant, you will provide high-level administrative support to senior leadership, ensuring efficient operations and seamless coordination across the office. This role requires strong organizational skills, sound judgment, and an understanding of banking workflows, client service standards, and regulatory expectations. You will thrive in a fast-paced environment and ensure seamless coordination across teams and client-facing functions.
In this role, you will:
Executive & Leadership Support
• Provide proactive administrative support to senior executives within the Global Investment Management Office.
• Manage complex calendars, coordinate meetings, leadership off-sites, conference calls, and departmental schedules.
• Monitor and respond to incoming emails on behalf of executives when appropriate.
• Act as a gatekeeper by managing access to executives and ensuring effective communication flow.
Reporting & Data Support
• Generate, review, and distribute daily/weekly/monthly reports from select internal systems and investment platforms.
• Support data collection and consolidation for dashboards, presentations, or executive briefings.
• Conduct research and compile information to support investment and business initiatives.
Operational & Administrative Support
• Organize team meetings, conferences, and offsite events, including agendas and materials.
• Maintain files, records, and documentation ensuring confidentiality and compliance.
• Support preparation of reports, dashboards, and business updates for internal stakeholders.
• Assist with departmental budgeting, procurement, and invoice processing.
Travel & Expense Management
• Coordinate complex domestic and international travel arrangements for executives.
• Prepare expense reports and process invoices for business-related expenses (travel, subscriptions, conferences, memberships).
Stakeholder & Vendor Management
• Act as a professional point of contact for internal and external stakeholders.
• Manage relationships with vendors, service teams, and partner departments.
• Ensure timely response and follow-up on inquiries, approvals, and action items.
Communications & Coordination
• Support the preparation of internal communications, announcements, and departmental updates.
• Assist with planning and coordination of internal events, leadership sessions, and engagement activities.
Other Responsibilities
• Manage incoming and outgoing mail, courier packages, and document distribution.
• Support executives with occasional personal administrative requests.
• Provide backup support to other administrative team members across the Global Investment Management Office.
Do you have the skills and requirements that will enable you to succeed in this role? – We’d love to work with you if have:
• College diploma in Business Administration or a related field, plus progressive administrative experience—or an equivalent combination of education and experience.
• 3+ years of experience in an administrative or executive support role.
• Strong proficiency in Microsoft 365 (Outlook, Teams, Word, PowerPoint, Excel).
• Excellent communication, writing, and interpersonal skills.
• Strong attention to detail and ability to prioritize competing tasks.
• High level of professionalism, confidentiality, and discretion.
• Ability to work independently with minimal supervision.
• Strong teamwork orientation with a collaborative, service-driven mindset.
• Exceptional attention to detail and accuracy, with a zero-tolerance approach to errors.
• High level of professionalism, discretion, and the ability to handle confidential information.
• Demonstrated ability to multitask, prioritize, and maintain composure under pressure.
