Purpose:


The Associate is expected to provide high-level administrative support to a large group of portfolio managers and analysts in the Equity Income Team at 1832 Asset Management. This role focuses on the team’s daily operations through calendar management with both internal and external parties, travel coordination, expense collection and reconciliation, distributing daily reporting and document preparation and effective communication and organization. Applying new approaches to workflows, including automating tasks and using AI tools, are encouraged. 


Key Accountabilities: 


Executive & Team Support


• Coordinating multiple calendars, scheduling meetings and conference calls
• Greeting guests, coordinating room bookings, and advising meeting attendees.
• Monitoring and responding to incoming emails on behalf of executives, where appropriate.
• Locating, formatting, and printing presentations and supporting materials.


Administrative Operations


• Providing comprehensive administrative assistance including document preparation, scanning and photocopying.
• Organizing and maintaining office filing systems.
• Booking restaurants reservations and food delivery for meetings and events 

 

Travel & Expense Management


• Coordinating domestic and international travel arrangements and logistics
• Processing expense reports and invoices for team members


Reporting & Data Support


• Generating and distributing daily reports from Charles River, Excel and other platforms.
• Accurately classifying securities based on report data.
• Preparing comparison reports, dashboards, and charts as required.
• Conducting research and compiling data to support Portfolio Managers and Analysts.


Desired Skills & Experience: 


• Candidates must hold a college diploma in a relevant discipline and have demonstrated progression in administrative roles, or possess an equivalent combination of education, training, and experience.
• Minimum two years of experience in Investment Management or Financial Services  
• Expert level PC skills (MS Office: Excel, Word, Outlook, PowerPoint; Adobe Acrobat, web browsers) with an ability to become familiar with firm-specific programs and software 
• Knowledge of how to use, and the ability to implement, AI tools to improve workflows
• Familiarity with virtual conference applications: MS Teams, Skype, Zoom
• Proactive thinking; anticipating needs and taking initiative in a high performing and deadline driven environment
• Strategic prioritization; ability to identify which task is important to accomplish and which task is urgent
• Sound Judgement; making smart and timely decisions
• Discretion and confidentiality; handling sensitive information with professionalism and care
