Assistant Manager, Occupancy Costs Control – Bilingual Spanish Required

Purpose:

Demonstrate good management and control of the Bank’s Canadian and international occupancy costs through the examination of premises expenses and the review of landlord’s billing for base rent, operating cost and realty tax recoveries to ensure compliance with their respective leases.

 

Accountabilities:
•    Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.
•    Demonstrate professional management of the Bank’s portfolio of leases from commencement to expiry through the detailed review of premises expenses.
•    Manage lease reviews in several regions, including reviewing and approving rental payments and adjustments primarily for the Caribbean and Central America regions, the US, and other countries globally, as required. 
•    Implement internal control measures to lease management to ensure rental payments are accurately calculated based on the correct leased areas, rates and periods. 
•    Oversee the assigned lease portfolio proactively including the process associated with opening, relocating and consolidating of branches.
•    Leverage the knowledge of commercial leases to conduct lease audits to secure the bank’s best interest in lease management.
•    Review and validate all landlord billings — base rent, operating costs, realty tax charges, chargebacks, and annual reconciliations, ensuring they comply with lease terms.
•    Investigate discrepancies and irregularities, perform detailed analyses, and conduct lease audits as required to ensure accuracy, recover overcharges, and support cost reduction objectives.
•    Liaise with internal Global RE teams, landlords, and property managers to gather information regarding real estate transactions. 
•    Deliver comprehensive support to internal partners and business lines globally by promptly addressing inquiries and providing expert advice on occupancy cost matters. 
•    Examine Real Estate database to ensure accurate lease financial information and update the system upon changes of ownership/management.
•    Collaborate as a team builder by sharing ideas, actively participating in team meetings, and supporting other team members.
•    Provide special research, analysis and support on new initiatives and other projects as required.
•    Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.
•    Actively pursues effective and efficient operations of their respective areas in accordance with Scotiabank’s Values, its Code of Conduct and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions and conduct risk. 

 

Requirements:
•    Passion for expense/rent internal controls, cost reductions and savings.
•    Business experience with a broad knowledge of the international real estate industry, leasing and costs associated with real estate.
•    Good knowledge of real estate accounting aspects, occupancy costs and property taxes.
•    Highly developed quantitative analytic skills, as well as critical thinking ability.
•    Good understanding of Real Estate law, taxation, lease documentation, and content.
•    Negotiating skills and business acumen.
•    Excellent communication skills, both verbal and written.
•    Self-initiative, resourcefulness, and energy.
•    Team player with good organizational and time management skills to handle multi-task assignments.
•    Good computer skills to develop/maintain real estate systems.
•    Advanced excel is preferred.
•    Familiarity of Bank's accounting system, Bank policies and Bank procedures; and
•    Proficiency in Spanish (oral / written) is required.

 

Education/Other Experience:
A business degree, relevant academic background, and/or work experience.
