Purpose
The Assistant Manager, Site Support, Distribution Services is responsible for the overall success of his or her team and, in turn, the department. The incumbent is responsible for the management of several day-to-day functions for 2201 Eglinton 888 Birchmount which include but are not exclusive to the handling of all incoming and outgoing inter-office mail, incoming/outgoing domestic and international couriers, effective operation of the Receiving Dock, and supporting Distributions Services as needed. 


Accountabilities 

     •    Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems, and knowledge

     •    Manage Site Support as a key contact/central mailroom for Scarborough locations in support of mail related processes, supporting the following locations: 2201 Eglinton, 888 Birchmount, while supporting distribution services overall with new initiatives. 

     •    Provide operational support to key business partners within Distribution Services and across the bank including, Transportation Services, Food Services (Cafeteria), The Way We Work Program mail Responsibility is taken for all partner inquiries/concerns/complaints directed to him/her by resolving those matters within his/her discretion, to the Partner’s satisfaction or by referring the partner to the appropriate person

     •    Provide monitoring, tracking and reporting of service volumes and trends to the manager while, proactively identify ways to improve processes and operational efficiencies and reduce expenses

     •    Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.

     •    Creates an environment in which his/her team pursues effective and efficient operations of his/her respective areas, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational risk, regulatory compliance risk, AML/ATF risk and conduct risk, including but not limited to responsibilities under the Operational Risk Management Framework, Regulatory Compliance Risk Management Framework, AML/ATF Global Handbook and the Guidelines for Business Conduct. 

     •    Builds a high-performance environment and implements a people strategy that attracts, retains, develops and motivates their team by fostering an inclusive work environment, communicating vison/values/business strategy and managing succession and development planning for the team. 

 

Education / Experience / Other Information 

     •    An Associate’s degree from a credited university or college in administration with a minimum of 2 year of related experience.
     •    Detailed knowledge of mailroom logistics
     •    Proven ability to effectively manage an office environment and people
     •    Working knowledge of HR policies and procedures    
     •    Working ability to manage several priorities simultaneously 
     •    Thorough PC skills for standard programs (i.e. Microsoft Office)
     •    Working knowledge of Bank’s structure and organization

 

The Assistant Manager Distribution is expected to work independently and manage operations and designated staff with recommendations on unusual and or contentious issues escalated to his/her Manager in a prompt manner. 

                     
Working Conditions

     •    The incumbent works in a production mailroom environment.   The position can be physical with the lifting of heavy objects, bulk packages, mailings, etc.  There can be stress resulting from tight deadlines and service obligations and requirements. Occasional overtime may be required during peak periods.
