Purpose
Contributes to the overall success of the Global Marketing department in Canada and internationally by supporting activities related to accounts payable administration ensuring specific individual goals, plans, initiatives are executed / delivered in support of the team’s business strategies and objectives. Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures.
Accountabilities
- Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.
- Works in collaboration with members of the Marketing department to ensure timely and accurate processing of payment requests and journal entries aligned to internal policies and procedures and direction from Global Tax department.
- Works in collaboration with Finance department to ensure that payment information is being entered into Marketing expense trackers accurately, on time, and in alignment with the General Ledger.
- Supervises team of Accounts Payable Administrators and is responsible for managing capacity across the team as well as facilitating onboarding and training of staff.
- Reviews and approves payment requests verifying accuracy and completeness.
- Monitors / escalates issues related to payment requests.
- Interacts with payments processing personnel in Global Business Services campus (Bogota, Colombia) to resolve issues with payment requests.
- Contributes to the maintenance of operating procedures for payments, journal entries, and supplier onboarding.
- Supports the Manager to assist in overseeing the process for the capture of accurate and reliable information related to payments, journal entries, and supplier onboarding documentation.
- Contributes subject matter expertise to maintain expense management and payment policies.
- Prepares payment processing performance and operational SLAs / KPIs / KRIs.
- Conducts analysis of payment data to gather insights.
- Acts as Business Partner to advise Marketing on issues related to specific payment approvals, invoice/expense report submission processes, and responds to escalations.
- Prepare job aids that proactively help to reduce support volume and resolution times
- Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.

Education / Experience / Other Information
- College Diploma or an equivalent combination of education and work experience.
- University degree in Finance or related studies, a definite asset.
- Excellent knowledge of Coupa SmartBuy, SharePoint and MS Office
- Excellent customer service and communication skills
- Ability to work independently and cooperatively as a team
- Ability to listen, understand and handle payment inquiries, problems, or escalations in a timely manner
- Excellent organizational and analytical skills
- Good problem-solving and time management skills
- Excellent flexibility and change management skills
Working Conditions
- Work in a standard office-based environment; non-standard hours are a common occurrence. Limited domestic travel..
