Purpose
As an Administrative Assistant for Global Transaction Banking (GTB), you will play a critical role in supporting the success of the organization by ensuring goals, plans, and initiatives are executed effectively. You will provide high-level administrative support to senior leaders while maintaining compliance with internal policies, procedures, and regulatory requirements. This role requires exceptional organizational skills, discretion, and the ability to manage competing priorities in a fast-paced environment.

 

What You’ll Do:

  • Provide confidential executive support to 3–5 VP/MDs within the GTB team.
  • Submit manual monthly expenses with precision and urgency. Compile receipts and prepare extensive expense reports for approval and payment, ensuring timely completion and proper client coding. Prepare and submit invoices to Accounts Payable for processing and follow up on outstanding items.
  • Maximize calendar efficiency for the team by creating productive schedules, anticipating conflicts, and proposing alternative solutions clearly and concisely.
  • Manage complex and frequent domestic and international travel using Bank-supported booking portals and approval systems. Submit travel pre-approvals, make arrangements for flights, hotels, and transportation, and plan meetings and events associated with travel.
  • Organize all meeting logistics, including invitations, technology requirements, catering, and document preparation for management and team meetings.
  • Keep client databases (Salesforce) up to date with accurate client information.
  • Answer phones, take messages, and ensure smooth communication flow.
  • Provide input into developing and enhancing current processes and procedures.
  • Comprehend and adhere to administrative policies implemented globally.
  • Provide guidance and mentorship to new or junior members of the Admin Team.
  • Use judgment and expertise to identify, resolve, and escalate day-to-day administrative issues as required.
  • Establish sound business relationships by providing courteous and efficient assistance to internal and external clients.
  • Actively pursue effective and efficient operations while ensuring adherence to operational risk, regulatory compliance, AML/ATF risk, and conduct risk frameworks.
  • Champion a customer-focused culture to deepen client relationships and leverage broader Bank relationships, systems, and knowledge. Act as a culture carrier, monitoring adherence to policies and escalating as required.
  • Perform additional tasks as required to support the team and business objectives.

 

 

What You'll Bring:

  • Fluency in Spanish and English (written and spoken) is required.
  • Previous experience providing executive-level administrative support, ideally in financial services or a corporate environment.
  • Strong knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with tools such as Salesforce and expense management systems.
  • Ability to manage complex calendars, prioritize tasks, and coordinate multiple projects simultaneously.
  • Accuracy in preparing expense reports, invoices, and travel arrangements.
  • Strong interpersonal skills, discretion in handling confidential information, and ability to build positive relationships with internal and external stakeholders.
  • Sound judgment to identify, resolve, and escalate issues as needed.
  • Comfortable working in a dynamic environment and supporting multiple leaders.
