Purpose


Contributes to the overall success of Global Corporate Affairs by providing general administrative support to a number of VPs and their teams, ensuring individual goals, plans and initiatives are executed/delivered in support of business strategies and objectives. Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures. 

 

Accountabilities 

 

•    Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.

•    Provides administrative support by:

o    composing/drafting basic internal and external correspondence, reports, memoranda, presentations, using templates and precedents; converting documents from PDF to an editable Word format
o    coordinating meetings, managing VPs’ calendars, managing appointments
o    overseeing corporate expense cards, and preparation of expense statements
o    making travel arrangements and preparing travel expense reports
o    supporting with onboarding an offboarding

•    Other special projects and responsibilities, as assigned

•    Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.

•    Actively pursues effective and efficient operations of their respective areas in accordance with Scotiabank’s Values, its Code of Conduct and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions and conduct risk.

Education / Experience / Other Information 

 

•    Minimum of two (2) years administrative experience
•    Strong communication skills (written & oral) 
•    High level of judgment/organizational skills and initiative to deal with varied duties
•    Ability to exercise discretion when dealing with sensitive, highly confidential matters
•    The incumbent must be self-motivated and work with only moderate direction, with the ability to adapt to change on short notice
•    Exceptional organizational skills, and the ability to multitask
•    Advanced computer skills, proficiency with MS Office suite
•    Working knowledge of SharePoint, Adobe and the internet
•    Team player with the ability to work independently
