Purpose
 

The Accounting Officer reports to the Finance Manager and is responsible for timely and accurate processing, control, and tracking of all accounting entries for a wide range of activities. The incumbent will be responsible for processing invoices and billing out to BNS user groups and tenants for the Bank’s owned properties. Additional activities include coordinating with the Property Management team and assisting with financial reporting. The incumbent is responsible for ensuring that the administration of accounts and records are maintained to the highest professional standard.

 

Accountabilities 

 

  • Process invoices
    • Ensuring all required supporting documents are received along with appropriate authorizations.
    • Record transactions to the appropriate transit and account.
    • Checking invoice costs, tax calculations etc. for accuracy and reasonability, and initiating and responding to queries as necessary.
    • Checking invoices against purchase order details to ensure the invoice matches the purchase order.
  • Bill out BNS user groups, subsidiaries, and tenants monthly ensuring allocations are correct and amend billings as appropriate. Follow up with tenants to address questions regarding changes in rent.
  • Process recurring monthly rental charges, year-end CAM & realty tax recoveries, one-time adjustments, utility, IFRS16 implications and miscellaneous invoices ensuring  accuracy and proper allocations for the Bank’s lease portfolio of large office spaces in Canada.
  • Coordinate with Property Manager and Property Services Coordinator.
  • Support Finance Manager and Senior Finance Manager with month-end close, financial reporting and budgets.
  • Maintain the confidentiality of sensitive invoices and transactions (e.g., professional and consulting fees, salary charges, etc.)
  • Support utility bill (electricity, gas, propane, and water) processing and consumption tracking for the Bank’s consumption report.
  • Processing data and maintaining accurate information on other specialized areas by:
    • Responding to vendor enquiries quickly and accurately by following up with the property management team to ensure timely payment of invoices.
    • For all accountabilities, ensuring regular follow-ups on all outstanding items.
    • For properties that have closed, work with Finance Manager to ensure assets are retired and other costs transferred as applicable.
    • Being involved in internal and external audits as required and ensuring that changes required due to the audit findings are implemented.
    • Responsible for the procedures of the above outlined duties.
    • Performs troubleshooting and resolution of any processing problems.
    • Getting involved in other responsibilities as assigned.


Education / Experience / Other Information
 

  • This position requires a sound understanding of accounting principles, the Bank’s General Ledger and Fixed Asset systems: Smartstream and PeopleSoft. Also required is a working knowledge of property management and building maintenance terminology, and provincial and federal tax regulations.  
  • The incumbent requires good interpersonal and communication skills to resolve questions and problems with contractors and suppliers and to communicate with Property Managers and other Bank staff.  Tact and delicacy are required, as information and transactions are often of a sensitive and confidential nature. Organizational and prioritization skills of a higher order are prerequisites to successful task completion, as deadlines are inflexible, workloads are high, and accuracy is essential.
  • 1-2 Years full-time accounting experience, preferably in accounts payable/general ledger transactions 
  • MS Office including working knowledge of Excel

  • Standard office-based environment. Hybrid, with expectations to be in the office two to three days per week
  • Working Hours: 37.5 per week, 8:30 AM - 5: 00 PM EST
