  • Business hours: Flexibility to work shifts on Monday to Friday from 8:00am - 6:00pm

As a Assistant Manager, Distribution Services you will contribute to the overall success of the Distribution Services department in the Campus, ensuring specific individual goals, plans, initiatives are executed / delivered in support of the team’s business strategies and objectives.  Ensures all activities conducted follow governing regulations, internal policies and procedures.


Is this role right for you? In this role, you will:

  • Implementing ongoing reviews of existing and new processes to determine where efficiencies can be achieved to increase partner satisfaction and cost savings.
  • Monitoring, tracking and reporting of service volumes and trends to the Manager.
  • Rationalize and optimize the effective utilization of existing equipment.
  • Review, approve and implement recommendations to resolve issues/concerns/complaints in an expeditious manner and to the partner’s satisfaction.
  • Ensure that all procedures and processes are properly documented and benchmarked against similar services provided by external vendors.
  • Ongoing analysis and review of resource requirements; monitoring and analyzing workload within department to identify capacity and/or growth and recommending value added work or reduced expense solutions.
  • Foster an atmosphere of continuous improvement and creating operational efficiencies within all areas of responsibility by implementing a program of ongoing validation of production quality against established benchmarks.
  • Providing leadership and direction to the day-to-day operations within the Business Unit on ensuring matters of Compliance, Anti Money Laundering Compliance, and Privacy matters are managed and executed as per Bank regulatory guidelines and escalations are made as required;
  • Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.
  • Creates an environment in which his/her team pursues effective and efficient operations of his/her respective areas, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational risk, regulatory compliance risk, AML/ATF risk and conduct risk, including but not limited to responsibilities under the Operational Risk Management Framework, Regulatory Compliance Risk Management Framework, AML/ATF Global Handbook and the Guidelines for Business Conduct.
  • All service level commitments for day-to-day mail sorting and distribution activities are met or exceeded and all issues and concerns are promptly and effectively addressed.
  • Complete daily quality and security checks of production in Distribution Services to ensure all controls are being maintained to minimize risk to the bank and its customers.
  • Manage to establish budgets and escalate any out of budget conditions.
  • Respond to all enquiries/requests within established service level agreement and escalate any concerns to Senior Manager for resolution
  • Participating as an active partner in the provision of support to the partner group by working with other units within Global Operations fostering a performance oriented culture that is focused on our customers, enhancing our leadership depth, diversity and deployment, better serving our customers while reducing structural costs, driving our digital transformation and aligning our business mix with deeper customer relationships.
  • In conjunction with Wynford Campus peer group, meet with outsourcers and vendors on a regular basis to ensure they are meeting their service commitments and ensuring the concerns/problems are properly escalated and resolved


Education & Experience:

  • An Associate’s degree (two years) from a credited university or college in administration with 5+ years of related experience or a College Degree from a credited university or college with a minimum of 2 year of related experience.
  • Detailed knowledge of mailroom logistics
  • Proven ability to effectively manage an office environment
  • Working knowledge of HR policies and procedures                
  • Thorough knowledge of contract negotiation and management
  • Proven analytical abilities
  • Working ability to manage several priorities simultaneously
  • Working knowledge of Bank accounting and controls
  • Thorough PC skills for standard programs (i.e., Microsoft Office, Lotus Notes)
  • Working knowledge of Bank’s structure and organization
