    Schedule: Monday to Friday 8:30am - 5:30pm / Saturdays 4 hours upon request 

 

Purpose

The Reconciliation Analyst is responsible for ensuring the timely and accurate reconciliation of the Bank’s cash accounts, inter-branch accounts, and various financial instruments (including Mutual Funds, GICs, and other positions) within the GWO Operations Control – Reconciliation Department. This role oversees all complex aspects of cash and security clearance and ledger activities to maintain operational efficiency, strict compliance with Bank standards, regulatory requirements, and effective procedural and management controls.Key responsibilities include monitoring and reporting daily activity to senior management—such as account balances, business line positions, and summaries of cash breaks—while providing a high level of support to internal departments (Settlement Operations, Product Control, GTB, Finance, and BNS branches). The analyst must identify and escalate potential risks promptly, ensure adherence to governing regulations and internal policies, and contribute to the execution of team goals, plans, and initiatives aligned with business strategies.

 

Accountabilities 

The Reconciliation Analyst is responsible for ensuring the operational efficiency of the Reconciliation and Control area, in compliance with approved policies and procedures, by:

  • Reconciliation and Control: Perform complex reconciliations and assigned adjustments (including Mutual Funds, GICs, and bank accounts) within established guidelines and deadlines, using systems such as TLM.Monitor outstanding items, correct discrepancies, and escalate unresolved errors promptly.Participate in physical securities counts and closing activities (mid/year-end).Ensure that accounts in TLM are balanced daily (statements, books, outstanding items), with proper sign-off and storage for audit purposes.
  • Compliance and Risk: Strictly adhere to Bank policies and regulations, escalating irregularities or process deficiencies.Consider the Bank’s risk appetite and culture in daily activities.Ensure the effectiveness of operational controls, regulatory compliance, AML/ATF/sanctions, and conduct risk management.
  • Client Service and Collaboration: Provide a high level of service to internal clients (Scotia-Capital, Wealth Management, Portfolio Administration, etc.) and respond to inquiries professionally and promptly.Foster a client-centric culture to strengthen relationships and leverage synergies with other Bank areas.Collaborate with business partners to understand needs and create positive experiences.
  • Continuous Improvement and Projects: Identify opportunities to improve efficiency and reduce risks.Support the implementation of new processes, systems, conversions, and internal projects.Provide technical and specialized assistance in reconciliation processes and reporting.Participate in audits, regulatory, and internal reporting.
  • Internal Management: Distribute reconciliations promptly to business partners.Review control accounts and aged items daily.Follow escalation procedures for deficiencies.Assist in staff training and cross-training.Provide backup and support to new team members.

 

Education / Experience

 

  • Bachelor’s degree in Finance, Accounting, or a related discipline.
  • 1–5 years of experience in reconciliation and accounting.
  • Ability to understand business language and translate it into technical terminology.
