Purpose
Contributes to the overall success of the Facilities team in New York, ensuring specific individual goals, plans, initiatives are executed / delivered in support of the team's business strategies and objectives. Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures.
What You’ll Do
Receptionist Responsibilities

Operate multi-line telephone system to answer incoming telephone calls and direct calls to appropriate employee or department.

Respond to caller/visitor inquiries by providing general information in a timely, professional, and courteous manner.

Greet on-site visitors and announce visitors to appropriate employee.

Schedule meetings and conference rooms.

Monitor visitor access.

Maintain orderly and tidy receptionist area and 23rd floor conference rooms.

Maintain preventative schedule for all AV equipment with IT.

Preform Sundry duties as assigned.
Events Coordinator Responsibilities
-
Assist with coordinating details for events such as conferences, business meetings, internal and external Scotiabank events.

Assist with booking and organizing event space, arranging food/beverages/appropriate decor, ordering supplies, coordinating logistics and ensuring details of event operate smoothly and efficiently.

Assist in efforts to publicize the event to employees.

Assist with coordinating event invitations and manage RSVP list.
Facilities Assistant Responsibilities

Manage and process business card orders for new hires and existing colleagues.

Manage and process expense reports, including obtaining approvals and submission to Finance.

Generate and process purchase orders (POs), including obtaining approvals and submitting invoices.

Oversee the monthly OpCo updates, ensuring timely data submission from all team members, and maintaining clarity, conciseness, and visual neatness in presentation slides.

Excellent interpersonal skills both in person and by phone, with high professionalism.
