Purpose

Responsible for the administration of all onboarding activities including offer letter generation and all pre-employment steps leading up to a new hire’s start date in line with standard policies, procedures and Service Level Agreements (SLAs).

 

Accountabilities

  • Champions a customer-focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge
  • Collaborates daily with the Talent Acquisition team and the Employee Lifecycle Administrators in supporting the coordination and administration of all onboarding activities
  • Administers offer letters, onboarding packages, and pre-employment screening to new hires and maintains all documents for new hires
  • Ensures all employment related documents such as offer letters, employment contracts, reference checks, I-9s, etc. are completed and received in a timely and accurate manner, and are stored and maintained in alignment with retention guidelines
  • Responsible for completing new hire checklists and following up with candidates to ensure the required documents are received prior to start date
  • Creates Personnel Action Form (PAF) for each new hire and or department change in a timely manner to ensure payroll team can process accurately
  • Supports new hires by providing guidance and directing them to available resources
  • Work with multiple stakeholders on a daily basis both locally and globally including but not limited to Talent Acquisition, Hiring Managers, U.S. HR Operations, HR Business Partners, Immigration Counsel, Legal, Compliance, and external Vendors
  • Provides support for escalated inquiries or concerns on matters related to onboarding
  • Coordinates the scheduling and delivery of orientation sessions and tracks orientation attendance
  • Ensures proper usage of desktop procedures, standard operating procedures, knowledge management and case management systems to effectively respond to, document and monitor service and transactional requests
  • Seeks opportunities to improve operational effectiveness, and proposes recommendations to the Manager, HR Operations and Governance
  • Work closely with other members of U.S. HR to ensure alignment across various HR Operations processes and initiatives
  • Additional ad-hoc duties and projects as they arise
  • Understands how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions
  • Actively pursues effective and efficient operations of his/her respective areas, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational risk, regulatory compliance risk, AML/ATF risk and conduct risk, including but not limited to responsibilities under the Operational Risk Management Framework, Regulatory Compliance Risk Management Framework, AML/ATF Global Handbook and the Guidelines for Business Conduct
  • Champions a high-performance environment and contributes to an inclusive work environment

 

Education / Experience

  • Post-secondary Degree or Diploma in Business or Human Resources or pursuing education in related field preferred
  • Experience in a customer focused area an asset
  • Previous experience in recruitment and onboarding preferred
  • Deep understanding and knowledge of Bank policies and procedures
  • Strong relationship management and interpersonal skills
  • Attentive to details and deadlines; ability to manage multiple priorities
  • Sound judgment and problem-solving skills
  • Strong knowledge of organizational structure and complexity
  • Strong people leadership skills – experience working within cross-functional teams
  • Experience with transaction processing and data management
  • Ability to maintain confidentiality
  • Strong verbal and written skills
