BRIEF INTRODUCTION

 

As an Administrative Support Assistant, you will be responsible for providing administrative support to one or more Advisors and their teams.  

 

Purpose 

 

Contributes to the overall success of ScotiaMcLeod in Canada ensuring specific individual goals, plans, initiatives are executed / delivered in support of the team’s business strategies and objectives. Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures.

 

Accountability

 

•  Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.

 

•  Ensure a high level of non-trade client service by managing reception duties, arranging client meetings and venues, preparing printed materials and handling scheduling changes, assisting with Advisor seminars by booking venues, scheduling guests, greeting clients and arranging for refreshments.

 

•  Following up on client meetings and entering notes in contact management system, processing client requests, account transfers, deposits, withdrawals and payments, requests for tax receipts and account reporting; responding to client inquiries and issues in a timely, responsive manner and escalating to Advisor when appropriate

 

•  Provide administrative support by processing client account documentation, assisting in writing and processing client/prospect letters and proposals, ordering marketing materials, maintaining client files and information on the appropriate systems, opening new accounts and processing new account documentation, processing account transfer documentation and follow up to ensure receipt, following up on outstanding documentation for restricted accounts, and ensuring all client interaction is accurately documented. Ensuring adherence of all regulatory rules as it relates to client accounts and related documentation, following up with clients on missing documentation required as per regulatory requirements. Develop an understanding of the required documentation for all client account types.

 

•  Contribute to the effective functioning of the Branch team by building effective working relationships across the team and with various business line and corporate function contacts, maintaining a high level of customer service, facilitating a culture of open and honest communication, actively participating and contributing to touch bases and team meetings, eencouraging the generation of new ideas and approaches, actively sharing knowledge and experience to enhance the development of all team members, and developing and executing a meaningful employee development plan

 

•  Understands how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.

 

•  Actively pursues effective and efficient operations of their respective areas in accordance with Scotiabank’s Values, its Code of Conduct and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions and conduct risk.
