Temporary assignment -Mat Leave (approx. one (1) year) 
Work hours: Monday to Friday, 8:30am - 5:00pm

 

Purpose
The Operations Officer provides operational and logistical support to the Tahoe and Wynford Campus locations. The employee is also responsible for fostering the new Global Operations culture by participating in and leading activities that will enhance the wellness of our employees, the diversity in the campus, and charitable and community involvement. As a member of the Campus Operations team the incumbent is responsible for contributing to the overall success of the unit by providing a high level of professional administrative and service support to our Global Operations partners while adhering to Bank security and operational procedures and policies.

 

Accountabilities 

1.    Contribute to the overall business objectives of the Campus Operations by: 

  • Ensure the quality of the logistical support to the employees in the campus is high and all issues and escalations are resolved satisfactorily with appropriate follow up and update to the employees
  • Providing support with day-to-day management of the Onboarding, Offboarding and Wellness functions within established SLAs; escalate any issues and delays for resolution
  • Assist with coordinating activities, classes and seminars in the Wellness rooms at both campuses
  • Coordinating the updates of the shuttle bus status line and shuttle bus transportation section on the Tahoe and Wynford Campus portal (Wynford)
  • Preparing monthly and quarterly reports of usage of the shuttle buses at all locations (Wynford)
  • Provide support with the management of the Wellness room, including planning, scheduling events and classes
  • Actively being involved in promotion of activities in the Wellness rooms by preparing announcements, flyers and other communication
  • Escalate any concerns with the companies selected to provide wellness classes to both campus to Manager Onboarding
  • Assist in the administration of onboarding and data management related responsibilities by acquiring a good knowledge of all accounting functions and a thorough knowledge of the following: Onboarding and Offboarding experience, workstation readiness, database reporting, BCP support, OHS, First Aid and Fire Safety committees,  maintain employee security access and parking database, and telephony assignments
  • Providing support and contributing to the success of various committees in the campus; e.g. Charity Committees, Wellness Committees etc.
  • Assists with cafeteria and other rooms setups for events, town halls and other engagement activities in the Tahoe campus;
  • A thorough knowledge of Bank accounting and administrative systems is requireContribute to the efficiency of the unit by ensuring corrective action is taken/ recommended/ escalated as appropriate
  • Maintain strict adherence to Bank policies and procedures

 

2.    Ensuring service provided to partners is of the highest quality by ensuring that all service level commitments to customers are met or exceeded by:

  • Taking full responsibility for all partner enquiries/concerns/complaints directed to him/her by resolving those matters within his/her discretion, to the partners' satisfaction or by referring the partner to the appropriate resource
  • The incumbent works closely with Scotiabank staff and outside vendors to ensure services rendered meets the established requirements and schedules
  • Provide feedback and recommendations for improvement in the processes and workflows to the management team

 

3.    Participate in the efficiency in all processes and functions performed in the department through ongoing review of existing processes and review of new processes related to job functions to determine where it can be streamlined to achieve increased partner satisfaction

  • Participate in Campus activities and promote Teamwork:
  • Assist with activities that involve preparation for town hall meetings and other campus-specific events
  • Assist with scheduling events and booking meeting rooms and advising users, making refreshment arrangements with the cafeteria catering services, making copies of meeting materials such as presentations, agendas, minutes

4.    Minimize the Bank's exposure to risk by:

  • Contributing to operational excellence and a satisfactory unit audit
  • Adhering to compliance with regulatory activities and guidelines, including Privacy, Anti-Money Laundering(AML)/Anti-Terrorist Financing, Financial Consumer Agency of Canada(FCAC), Know Your Customer(KYC), Canadian Deposit Insurance Corporation(CDIC), as well as Guidelines for Business Conduct 
  • Adhering to compliance with regulatory activities and guidance over Occupational Health & Safety 
  • Ensuring strict adherence to Bank security procedures, including assigned authorities and limits
  • Ensuring knowledge of day-to-day operations within the unit on matters of Compliance, Anti-Money Laundering Compliance, and Privacy matters, are managed and executed as per Bank regulatory guidelines, and escalation is done as required.

 

5.    Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.

 

6.    Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.

 

7.    Actively pursues effective and efficient operations of his/her respective areas, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational risk, regulatory compliance risk, AML/ATF risk and conduct risk, including but not limited to responsibilities under the Operational Risk Management Framework, Regulatory Compliance Risk Management Framework, AML/ATF Global Handbook and the Guidelines for Business Conduct.

Dimensions

  • Provides operational and logistical support to 1200+ employees at the Global Operations Campus location 
  • Responsible for the day-to-day functions of their position. 
  • Responsible for escalating any problems or issues to their supervisor with recommendations where appropriate.
  • The incumbent receives direction from the Manager, Onboarding & Data Management as required.

 

Education & Experience 

  • Post-secondary diploma
  • Good working knowledge of Excel, Word, and PowerPoint, Intralink, email  
  • Good communication and team focus skills
  • Strong organizational skills, highly efficient, and able to handle the pressure of working within the SLAs in a high-volume environment.
  • Thorough knowledge of accounting procedures

 

Working Conditions

  • Work in a standard office-based environment; non-standard hours are a common occurrence
  • The position requires some lifting of boxes, movement of furniture, as required
  • Requires flexibility and close attention at times as volumes and  can be unpredictable. 
  • While work is mainly general adminstrative support, due to the employee population is can be repetitious.
