Purpose
Contributes to the overall success of Business Support and Fulfillment by ensuring individual goals, plans, and initiatives are executed in support of the team’s business strategies and objectives. Ensures all activities are conducted in compliance with governing regulations, internal policies, and procedures.
This role requires strong service delivery, communication, and administrative skills to support employees and departments and help maintain productivity.
Accountabilities
Client Experience
- Champions a customer-focused culture to deepen client relationships and leverage broader Bank relationships, systems, and knowledge.
- Supports and facilitates a first-class employee and departmental experience.
- Works closely with varying teams and groups to support the execution of engagement activities within the Bank.
Administrative Support
- Accountable for accurate and efficient intake activities, including sorting mail, scanning, printing, and indexing.
- Accountable for Iron Mountain requests, shipping, and storage management.
- Provides general administrative support and ad hoc project assistance for different departments on a regular or as-needed basis, including support for mail sorting, stationery supply ordering and distribution, courier delivery, and Pitney Bowes tracking.
Job Functions
- Supports Call Centre and Online Banking EDGE printing and packaging activities.
- Processes incoming and outgoing Registered Accounts transfer cheques and related documentation.
- Completes Registered Disability Savings Plan printing and packaging tasks.
- Performs FATCA document scanning and related intake support.
- Provides copy and digital print solutions for internal partners.
- Handles return mail scanning and processing activities.
- Supports night deposit and unpinned item sorting, processing, and storage.
- Processes Property Insurance Tracking Centre documentation and related requests.
Other
- Understands how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.
Actively pursues effective and efficient operations in accordance with Scotiabank’s Values, Code of Conduct, and Global Sales Principles, while ensuring day-to-day controls are adequate and effective to meet obligations related to operational, compliance, AML/ATF/sanctions, and conduct risk.
Education, Experience, and Other Information
- Excellent and proven customer service focus record
- Excellent verbal and written communication skills
- Excellent organizational skills, including ability to prioritize and coordinate multiple tasks
- Able to work with minimum supervision and in collaboration with a large team
- Strong interpersonal skills with the ability to effectively interact with internal partners and external clients and employees at all levels
- Intermediate skills in the MS Office (Word, Excel, Outlook, One Note, MS Teams) with high proficiency in excel and data management
- Basic skills in OfficeSpace Facility Management Tool
- Knowledge of conference/meeting room technology, video conferencing, etc. or ability to learn
Responsive to shifts in direction and priorities and schedules
Working Conditions
Work in a standard office-based environment; non-standard hours may be an occasional occurrence.
