Title: Executive Assistant, Canadian Banking Operations 

Office location: Mississauga or Toronto

 

Purpose

Contributes to the overall success of the department by ensuring administrative tasks are executed in an expeditious and professional manner supporting the team’s business strategies and objectives. All activities conducted are in compliance with governing regulations, internal policies and procedures.

 

Is this role right for you? In this role, you will:

  • Provide high quality administrative support for multiple executives, requiring discretion, confidentiality, attention to detail, and knowledge of the organization's operations, procedures, and people.
  • Support Executives in the day-to-day management of schedules by:
    • Arranging and scheduling meetings
    • Ensuring meetings are prioritized appropriately
    • Anticipating scheduling conflicts and providing solutions
  • Monitor, review, and obtain executive approval for standard expenditures to ensure the activities of the departments are conducted within established budgets. Prepare and submit expense reports, in line with Expense Policies. 
  • Coordinate and book travel for Executives as needed. Make travel arrangements (flights, hotels, and transportation) and coordinate schedules during travel.
  • Supports department activities as requested by the Executive(s), such as supporting town hall logistics, team meetings and other events.
  • Gather, compile, verify, and analyze information for the executive's use in documents such as memos, letters, reports, speeches, presentations, and news releases. Perform tasks using independent judgment and discretion; e.g , preparing documents and presentation materials; screening and responding to incoming correspondence, inquiries, and phone calls; drafting letters and official information releases; arranging and attending meetings; taking and distributing minutes.
  • Complete all duties in a timely and professional manner, proactively communicating with Executives and stakeholders.

 

  • Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.
  • Be an approachable presence in the department, assisting department members as needed, contributing to the overall success of the department.
  • Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.
  • Actively pursues effective and efficient operations of their respective areas, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational risk, regulatory compliance risk, AML/ATF risk and conduct risk, including but not limited to responsibilities under the Operational Risk Management Framework, Regulatory Compliance Risk Management Framework, AML/ATF Global Handbook and the Guidelines for Business Conduct.

Do you have the skills that will enable you to succeed in this role?  We’d love to work with you if you have: 

  • Experience providing administrative support to Executives and working with senior levels of management
  • High level of discretion required when dealing with confidential matters
  • Sound knowledge of business/bank terminology and departmental procedures
  • Strong computer skills and knowledge of Microsoft Office programs (Outlook, Teams, Word, PowerPoint, Excel) and Adobe Acrobat
  • Strong communication and interpersonal skills
  • Strong time management and organization skills, high level of attention to detail

 

 

Working Conditions

  • Work in a standard office-based environment
  • Standard working hours from 8:30 - 5:00 PM (extended hours as needed)
  • 4 days at the office, subject to change
