Purpose
As a Credit Administrative Officer (CAO) within the Adjudication Centre of Expertise (ACE), you will support the end-to-end credit adjudication experience by compiling and inputting accurate customer and financial information into our credit review systems. You will help ensure credit exception applications and related requests are prepared promptly, escalations are supported, and records are maintained in line with internal policies, procedures, and applicable regulations.
About ACE
ACE reviews credit applications requiring an exception for Retail Branches, Private Banking, and Business Banking (including Branch, Health Care & Professional Banking, and Agriculture). The team enables a consistent, high-quality credit adjudication experience aligned to the Bank’s Risk Framework.
Is this role right for you? In this role, you will:
- Support a client-focused culture by delivering strong partner and customer experiences and leveraging broader Bank relationships, systems, and knowledge.
- Review credit applications and accurately input client and financial information into relevant credit review tools (e.g., Scotiaworx / Credit Exception Application).
- Prepare and organize credit review files for underwriters, ensuring completeness, accuracy, and adherence to established service levels (SLAs).
- Maintain and monitor Small Business Temporary Overruns (TORs), including daily communications/instructions to branches and other TOR-related activities.
- Manage inbound and outbound correspondence related to credit reviews, following required authentication, privacy and control processes
- Track and file documentation to support effective records management and an orderly ACE filing system.
- Support file preparation requests for SPSP applications and the addition of third-party guarantors to Business Banking applications.
- Contribute to a high-performing and inclusive team, supporting continuous improvement of administrative processes, controls and reporting.
- Operate with a strong understanding of the Bank’s risk appetite and risk culture, applying it to day-to-day activities and decisions.
- Follow the Bank’s Values, Code of Conduct, Global Sales Principles, and day-to-day business controls, including obligations related to operational risk, compliance, AML/ATF/sanctions, and conduct risk.
Other information:
This role supports a high-volume credit review environment, helping prepare and process approximately 7,000–12,000 credit review files annually, along with other related duties as assigned.
Do you have the skills that will enable you to succeed in this role? We’d love to work with you if you have:
- Experience in an administrative, operations, or credit support role within banking or financial services (or equivalent experience in a regulated environment).
- Working knowledge of credit processes and documentation, with strong attention to detail and comfort working with large volumes of data.
- Proficiency with common banking/operations systems and tools; ability to learn new systems quickly (experience with tools such as CIS, Scotiaworx, Intralink, DMT is an asset).
- Ability to organize and arrange information from source documents and ensure work is processed accurately and on time against service level expectations.
- Knowledge of credit bureau practices and procedures (asset).
- Strong written and verbal communication skills, including the ability to write for different audiences (e.g., customers, branches, and senior stakeholders).
- Strong computer skills and organizational/time-management skills; proven ability to prioritize a dynamic workload.
- Understanding of privacy and regulatory expectations relevant to financial services (e.g., record retention, customer information handling, AML/ATF, conduct risk).
- Experience tracking metrics and preparing reports/insights to support operational efficiency (asset).
