PURPOSE:

 

Assist, support and coordinate the Scotia Howard Weil Energy teams located in Houston with facilities, expenses management, research distribution, travel arrangements, corporate event planning and coordination and performance metric distribution. The Manager will work closely with Operations team in Canada and NY, Sales, Finance and the Equity Research teams in NY. The person will have a strong experience in business administration, working with HR and compliance and partnering across the firm. Knowledge of Excel, Blue Matrix, CRM, and PowerPoint are important.

 

  KEY ACCOUNTABILITY:  

 

    Marketing/Event Coordination

  • Support Annual Energy Conference – Our Signature Event, entering its 45th year, and one of the premier energy investor conferences in the industry, attracting institutional investors and top-level leadership from a broad range of energy companies. We annually have over 1000 company reps and clients attend the 4 day event in New Orleans, LA.
    • Schedule 2500+ 1x1 and group meetings for conference
    • Work the 1x1 desk at the conference – involves 1000+ changes to client and company meeting schedules
    • Provide all clients and company attendees badges and schedules
    • Register 500+ clients and 150+companies at the start of the conference
  • Help set up mini-conferences with the research analysts
  • Coordinate with Investor Relations regarding their speaking times at the conferences and events
  • Handle all corporate and client communication and correspondence for field trips, conferences, bus tours and non-deal road shows

     

    Marketing Duties

  • Produce and ship marketing material for client meetings
  • Booking travel arrangements (flights, hotels and cars) for research and sales for client events
  • Scheduling of client meetings in Houston with energy companies under coverage
  • Arrange and schedule analyst meetings with companies for due diligence visits
  • Provide breakfast, lunch and dinner reservations (and delivery) for marketing trips, company trips and client trips both inside and outside of Houston
  • Primary support of New Orleans Marketing Coordinator duties during leaves of absence

     

    Day to Day Responsibilities

  • Answer telephone calls; coordinate conference calls
  • Manage distribution of analyst financial models for companies under coverage to clients as requested
  • Prepare and submit expense reports for both approval and payment
  • Point of contact for Houston employees Finance related matters
  • Fill out the Earnings release conference call spreadsheet for energy team to provide analysts and investors call information and upload to Sales Document Tool and Research Tool
  • Facilitate earnings conference calls
  • Acts as Office Manager - Setting up / maintaining department files, ordering and managing office supplies, ensure proper onboarding of new employees and overall facilities management
  • Upload valuation statistics to the Scotia Howard Weil website for company and client use
  • Log analyst calls and meetings into the Salesforce system

 

EDUCATION & EXPERIENCE:

  • Post-secondary training in business administration or an equivalent combination of education and related experience
  • A minimum of 5 to 7 years of experience in an business administration support functions
  • Advanced MS Office skills to conduct analysis, generate and maintain/modify Excel-based reports
  • Sound judgement and problem-solving skills
  • Must be skilled in the management of sensitive and confidential information
  • Attention to detail and diligence with follow-up
  • Ability to multi-task and prioritize work load
  • Strong interpersonal and communication
  • Partnership and firm first mindset
