Purpose

 

The Project Controller Officer is responsible for supporting project reporting and tracking for the Dominican Republic and Colombia project portfolio. In addition, the incumbent will assist with the development of process standards and procedures that align with overall policy and industry practices.

The Project Controller Officer may be required to work across multiple workstreams and must be able to prioritize and manage a large volume of information effectively. Collaboration is key, as this person will work closely with project managers, functional leaders, and GBS leadership to ensure seamless project execution and adherence to established standards.

Accountabilities

 

Portfolio Reporting

  • The Project Controller Officer is responsible for creating, updating, and maintaining reports for the Transitions and Innovation portfolios. These reports are used to document project activities and ensure that all relevant information is accurately recorded and available for review.
  • Monitoring the health of the portfolio is a key responsibility. This includes tracking important indicators and raising alerts when issues arise that could impact project outcomes. Through diligent monitoring, the Project Controller Officer helps to mitigate risks and ensure that corrective actions are taken promptly.
  • Clear documentation is developed to support project tracking and facilitate informed decision-making. This documentation serves as a reliable resource for project teams and stakeholders, ensuring transparency and consistency throughout the project lifecycle.
  • The Project Controller Officer works closely with project teams to gather requirements and assess risks, which supports effective project planning. This collaborative approach helps to ensure that all aspects of the project are considered, and potential challenges are identified early.
  • SLA Control and Standardization
  • The officer ensures that Service Level Agreements (SLAs) for both campuses are complete, up-to-date, and properly controlled. This oversight drives process standardization across all workstreams, supporting consistent and efficient operations.
  • Manage and monitor company SLAs and the association of related cost centers for Colombia and the Dominican Republic.
  • Track compliance with timelines for SLA creation for both Colombia and the Dominican Republic.
  • Notify staekholders the creation of new SLAs and cost centers (CeCos) to ensure process alignment and support the billing process.

 

Project Execution and Management

  • Assigned projects are executed using established project management standards and best practices. The Project Controller Officer works with teams to implement project plans, track progress, and ensure that milestones and key performance indicators (KPIs) are met.
  • Defining project scope and documenting requirements before the start of design and development is a critical task. This process ensures that all project stakeholders share a clear understanding of objectives and deliverables, reducing the likelihood of misunderstandings or scope creep.
  • Stakeholder Engagement and Compliance
  • Acting as a liaison among stakeholders, the Project Controller Officer works to understand the organizational structure, policies, SLAs, and operations.
  • Collaborate and partner with appropriate resources to develop effective process recommendations.
  • Build relationships and communicate with stakeholders by documenting and presenting data for insights and recommendations according to PMO process and controls.
  • Provide relationship management support to various functions transitioning into GBS DR-COL.
  • Build relationships with teams located in Canada and other countries.

Dimensions

The GSG Project Management Office (PMO, leaded by Transitions Director) leads, governs and supports the planning, execution and implementation of multiple projects with various lines of business. The PMO manages across multiple workstreams, proactively drives risk, issue, and decision management, and tracks program delivery and benefit objectives.

 

Education / Experience / Other Information (include only those that are specific to the role)
 

  • 1 - 2 years of experience in similar roles.
  • Strong communication skills and collaboration are essential.
  • Expert knowledge of Microsoft Word, Excel and PowerPoint.
  • Nice to have knowledge of Power Bi.
  • Experience and a high degree of comfort working with complex processes.
  • Experience in a business analyst or process analyst position.
  • Strong organizational, analytical and problem-solving skills.
  • Strong written and verbal communication skills.
  • Able to balance multiple priorities and deadlines.
  • Strong interpersonal skills with proven ability to work within cross-functional teams.
  • English level advanced.

 

Working Conditions

  • Work in a standard office-based environment; non-standard hours could be a common occurrence.
  • The incumbent must work under tight deadlines, conflicting priorities and changing project requirements. Must be able to react quickly to resolve problems and work overtime on many occasions to meet project deadlines.
  • The incumbent requires a high degree of adaptability for both meeting attendance and frequent “informal” checking on progress and “reality”.
  • Unplanned delays can cause disruption in personal lifestyle.
  • Cultural differences and language barriers can add to mental stress and fatigue.
