What you will be doing:
Provide agile, high-impact support to the MD, Tangerine Business, and the broader Tangerine Business team by managing complex calendars, coordinating meetings, supporting travel requirements, and organizing logistics for workshops, external engagements, vendor interactions, and cross-functional sessions. This is a hybrid Executive Assistant and Project Coordinator role, requiring the incumbent to operate as a strategic extension of the MD while also supporting project execution, information flow, and follow-through across Tangerine Business priorities.
Proactively support the execution of Tangerine’s Business take-to-market roadmap and operational plan by tracking and reporting on financial and non-financial dashboards, maintaining project status updates, supporting internal communications and feedback loops, and ensuring organized access to project documentation.
Act as a Tangerine Business ambassador by fostering strong partnerships, simplifying collaboration across teams, and supporting Tangerine’s evolving culture through ad hoc social and engagement events. This is a high-impact, hands-on role with daily interaction across the Tangerine Business team, vendor partners, and senior executives. Duties will often differ day-to-day to support the effective launch and ongoing delivery of Tangerine’s Business priorities. We are looking for a builder who can help improve how work gets done in a fast-moving, growth-oriented environment, including identifying opportunities to work in smarter and more efficient ways.
Create the conditions for the MD and Tangerine Business leadership to focus on their highest-impact work by acting as the operating layer that keeps priorities protected, follow-through visible, and business activity moving at pace.
This role requires someone who thinks in systems, acts with sound judgment, earns trust through consistent execution, and uses judgment to identify issues early, clarify next steps, and escalate only when needed.
Is this role right for you? - In this role you will:
Executive & Team Coordination
- Manage complex calendars and coordinate meetings for the MD, Business, Tangerine and the Tangerine Business team, ensuring alignment across multiple stakeholders and priorities including senior Tangerine and Scotiabank leaders and executives. Own the MD’s calendar as a strategic asset by protecting focus time, sequencing discussions thoughtfully, and ensuring meeting time aligns to the highest-value business priorities.
- Manage calendars, travel requirements, coordinating meetings and materials preparation support. Organizing logistics for workshops, vendor engagements, and cross-functional sessions, including preparation of materials, room bookings, and technology setup . Prepare concise briefing materials for meetings, stakeholder interactions, and events, incorporating relevant context, relationship history, decisions required, and follow-up commitments.
- Anticipate scheduling conflicts and proactively resolve issues to maintain momentum and minimize disruption.
- Serve as a trusted gatekeeper for inbound requests, using judgment to triage urgency, sensitivity, and whether other stakeholders should be informed or engaged.
- Draft, edit, and manage professional correspondence and internal communications on behalf of, or in support of, the MD, ensuring tone, standards, and intent are reflected appropriately.
- Maintain a strong understanding of the MD’s stakeholder landscape, key relationships, recurring forums, and priority files to support timely follow-through and informed decision-making.
- Manage end-to-end logistics for leadership meetings, off-sites, high-profile sessions, and external engagements, ensuring agendas are purposeful, materials are prepared in advance, and follow-up actions are tracked through completion.
Tangerine Business Support
- Track and report on financial and non-financial project metrics, including dashboards, relationship maps, risk and issue logs, milestone progress, program status, tasks and initiative health. Maintain accountability loops by tracking open commitments, action items, project milestones, and dependencies on behalf of the MD and Tangerine Business leadership.
- Maintain centralized access to project and team documentation, ensuring materials are organized, version-controlled, and easily accessible to stakeholders. Build and refine simple workflows, trackers, and information management practices that keep the MD’s office and project work operating efficiently.
- Support internal communications by drafting updates, coordinating feedback loops, and preparing presentation materials for leadership and governance forums. Ensure the right information reaches the right people at the right time, and escalate when something critical may otherwise fall through the cracks.
- Attend sprint reviews, team meetings, partner and vendor meetings to capture key actions, escalate concerns, and ensure alignment across teams.
- Assist in identifying and escalating delivery risks or blockers, and contribute to the development of mitigation strategies.
- Provide weekly reporting support to Tangerine Business leadership team, ensuring visibility into progress, risks, and dependencies.
- Collaborate with initiative leads to ensure timely updates and consistent reporting across workstreams.
- Apply a continuous improvement mindset to the MD’s office and project coordination practices by identifying opportunities to streamline processes, reduce manual effort, improve information flow, and adopt tools that create capacity for higher-value work.
- Operate with discretion and influence when handling sensitive information, leadership priorities, confidential materials, and stakeholder dynamics.
Culture & Engagement
- Act as a Tangerine Business team ambassador by fostering strong partnerships and making it easy for others to engage with the program.
- Support the planning and execution of ad hoc social and engagement events that reinforce Tangerine’s evolving culture and team cohesion.

Qualifications / Education / Experience / Other Information (include only those that are specific to the role)
- Business related post-secondary degree or diploma or equivalent experience
- Strong interest in digital banking and creating new ways of working
- Experience providing executive-level administrative support, preferably to senior leaders or executives in a fast-paced corporate environment.
- Demonstrated ability to independently manage complex calendars, confidential information, meeting preparation, travel logistics, and senior stakeholder coordination with sound judgment and discretion.
- Exceptional written and verbal communication skills, including the ability to draft concise, polished correspondence, meeting notes, leadership updates, and briefing materials that reflect the MD’s standards and intent.
- Experience building or improving simple operating rhythms, trackers, workflows, or team processes that create clarity, reduce friction, and strengthen execution.
- Demonstrated experience in supporting a business across a variety of areas such as meeting logistics, office/real estate optimization, and internal communications.
- Demonstrated experience managing complex programs and/or calendars (seasoned executives or operational)

Previous Experience
- Minimum 2 year experience in a financial services and/or banking environment
- Minimum 5 years relevant work experience in a fast-paced, high-growth and complex environment
