POSITION SUMMARY: The Administration Mgr is reponsible for contributing to the overall success of the SMFS group by ensuring a high level of client service is acheived through effective operations and administrative effeceinces and help build a culture of high performance and continuous improvement.

Incorporating the key personal investment and advisory activities within the Scotiabank Group, Wealth Management provides a full range of products and services that encompass retail brokerage, investment management advice, mutual funds and savings products, and financial planning and private client services for affluent clients.



QUALIFICATIONS:

  • 1. Manage all aspects of administration for new business and inforce insurance policies by:
    • Proactively reviewing current insurance administrative processes and initiating and implementing new processes to address any gaps that will make it easier to do business with all partners within the Scotiabank Group while delivering on objectives, service standards and quality customer service.
    • Maintaining overall responsibility to assure all operational procedures are followed and understood.
    • Developing strong partnerships with compliance, ISS and insurance partners to assure that corporate/compliance policies are followed and that SMFS is operating within regulatory expectations.
    • Being the primary point of contact for all Agent of Record changes
    • Communicating any administration process changes to the field.
    • Developing and maintaining the required process documentation (administration manual)
    • Managing the Imaging and Couriering of all new and inforce documentation between Scotia and Insurance partners


    2. Manage field personnel by:
    • Maintaining direct supervision of field staff and head office admin team
    • Providing regular feedback to team members on their efforts and performance;
    • Participating in year-round performance management, including objective setting and semi-annual and annual performance appraisals;
    • Having regular discussions to identify concerns and issues;
    • Disseminating and ensuring compliance of HR policies and initiatives;
    • Facilitating training and communication among team members through regular conference calls;
    • Providing career guidance and coaching through informal discussions as well as the formal employee development planning process;
    • Drive and maintain the support staff recruiting process;
    • Addressing any HR issues as they arise.

    3. Manage the overall responsibility of the Insurance contact management system Smart Office by:
    • Supervising and auditing Business Analyst’s work done on Smart Office.
    • Continuously enhancing overall knowledge of the software.
    • Monitoring overall training plan for users
    • Ensuring that Smart Office processes align with the end-to-end new business and inforce processes while maintaining the overall integrity of the data.

    4. Resolve administrative problems as they arise by:
    • Working with various internal groups who will help to address problems;
    • Maintaining strong relationships with external suppliers administration areas in order to call upon them for help.
    • Monitoring field complaints and assist in resolution

OTHER INFORMATION:




  • The Administration Manager, Insurance must have:
    • Minimum 2 years of experience managing people;
    • Solid understanding of the products and services we provide;
    • Extensive industry knowledge and experience;
    • Customer Database knowledge;
    • Strong analytical aptitude and strategic thinker;
    • Proven skills in problem solving and day to day decision making;
    • Strong self-management and results orientation;
    • Individually motivated and team supportive;
    • Self-confident with professional integrity;
    • Strong relationship building skills and mentoring ability;
    • Excellent communication skills;
    • Strong leadership skills demonstrating decisiveness.
    • Positive and professional attitude
    • Work independently with little supervision.

    It is preferable that the Admin Manager, Insurance has:
    • Understanding of Wealth Management and/or Investment Dealer business
